To provide project administrative support for the delivery of large scale donor funded contracts in accordance with the funding agreement, technical proposal, logical framework analysis, budget, timeline and British Council’s policies and procedures

Role overview
General administration
* Park/post standard financial journals
* Undertake housekeeping on GL accounts monthly as instructed by Finance Manager.
* Monthly reconciliation and internal checks on correct GL codes and WBS’s.
* Support with preparation of client invoices preparing hard and soft copy files for audit, and all supporting project documentation
* Proactively ensure British Council WBS master data is kept up to date and is fit for purpose.
Payment process and standards are met
* Ensure that all payments are appropriately documented and have supporting documents.
* Contribute to resolving any outstanding issues working collaboratively with project and finance team.
* Monitoring of open Purchase Orders (PO’s) report and support resolving outstanding issues.
Procurement process standards are met
* Check compliance of all invoices received against POs in line with organizational and client finance and procurement standards
* Monitoring of open PO reports and contribute to resolving outstanding issues.
Travel and expenses standards are met
* Maintaining a log for all related supporting documentation in line with organization and client compliance and policy requirements
Contract monthly payments are made and charged to relevant WBS element
* Raising Purchase Orders for finance contract department.
* Maintaining a clear and accessible filing system with full audit-trail – including supporting documentation information management.
Information management
* Managing soft/hard copy storage of all finance and project related documentation including procurement evidence.
